Museum Services Coordinator (full-time)

Summary:
Reporting to the Museum Services Manager, the Museum Services Coordinator is responsible for providing
exceptional customer service, sales and support for the Museum, including daily operations of the Museum
Store, Center for Southern Craft & Design (CSCD) and the Visitor Services Desk. This role ensures the successful promotion and sale of admissions, memberships, merchandise and craft items, while supporting the Museum’s mission.

General Duties

  • Serve as frontline ambassador for the Museum and provide exemplary customer service to all visitors.
  • Process admissions, events, special promotion and membership transactions.
  • Promote repeat visitation, program participation and museum membership.
  • Maintain a working knowledge of current exhibitions and promotions.
  • Follow opening and closing procedures as established by the Museum Services Manager and Ogden Museum Financial Policy.
  • Keep all desk areas clean, organized and stocked.
  • Attend weekly production meetings and relay important Museum and event information to Visitor Services and Museum Store staff.
  • Answer visitor services phone, direct calls to appropriate staff members and check voicemail daily.
  • Train new Museum Store and Visitor Services employees on basic work functions.
  • Assist with scheduling and cover vacant shifts on weekends if needed

Museum Store

  • Receive all merchandise or delegate to store associates and ensure proper procedures are followed.
  • Sell merchandise and converse with visitors about the Center for Southern Craft & Design and exhibition
    related products.
  • Create and install all store displays.
  • Coordinate and facilitate Center for Southern Craft & Design programs such as Artist Spotlights, Craft Happy Hour and Art of the Cup.
  • Respond to customer or vendor complaints.
  • Assist with ordering store merchandise and coordinate with consignment vendors.
  • Update online store and ensure online orders are filled by store associates.
  • Ensure that the store is clean and tidy and items are restocked by store associates.
  • Assist with annual inventory count.

Visitor Services

  • Sell group admission tickets for all non-education related groups.
  • Serve as liaison between visitors and Ogden Museum colleagues.
  • Collect visitor data and feedback and report it to Marketing Department.
  • Communicate with Marketing Department to ensure gallery guides are printed and available for guests.
  • Maintain and document items that can be checked out by visitors such as En Chroma glasses and
    sensory backpacks.
  • Serve as coverage for Museum Store during staff lunch and breaks.

Education, Experience, & Qualifications

  • Bachelor’s Degree or equivalent work experience. A specialized degree in Arts Administration or
    Museum Studies is preferred for a deeper understanding of museum operations.
  • Minimum 3-5 years of experience in office or retail management.
  • Additional experience in areas such as copyright and rights & reproduction laws, art gallery or light curatorial work, art handling, packing and shipping fragile items, accounts receivable, inventory management, customer service, e-commerce, management, marketing, product development, and merchandising is highly valued.
  • Exceptional communication skills (written, verbal and presentation)
  • Proven success in providing leadership by building and motivating team members to meet project goals,
    adhering to their responsibilities and project milestones.
  • Flexible, with proven ability to conform to shifting priorities, demands and timelines through analytical
    and problem-solving capabilities.
  • Self-starter who can take initiative and drive results; Belief in innovation; demonstrated imagination and
    a creative approach in generating new ideas.

  • All Ogden Museum of Southern Art staff members are required to attend the following mandatory
    annual events: Magnolia Ball (June) and O What A Night! Gala (October).

Physical & Mental Demands

  • While performing the duties of this job, the individual is regularly required to communicate information
    and ideas effectively so others will understand. Must be able to exchange accurate information in these
    situations.
  • Ability to lift up to 25lbs occasionally and perform light art handling tasks such as packing and shipping
    ceramics and other fragile items. Capability to climb ladders safely. Range of motion in arms and hands
    with the ability to use tools such as hammers and power tools.
  • Specific vision abilities required by this job include the ability to observe details at close range (within a
    few feet of the observer).
  • Read, analyze, and interpret data (emails, memos, letters, etc.).
  • Maintain visual attention and mental concentration for significant periods of time.

Work Environment

  • Duties are performed in an office and museum environment and may require traveling to other facilities
    using employee’s personal transportation.
  • This role routinely uses standard office equipment such as laptop computers and various digital devices.
  • This is a full-time position; days and hours of work are typically Monday through Friday, 9 a.m. to 5 p.m.
  • Occasional evening and weekend work may be required as job duties demand.
